Privacy Policy

This policy explains what information ServerMate may collect or process, why it is needed, how it is used, and the choices available to Discord users and server administrators.
Information we collect
ServerMate may store Discord user IDs, server IDs, channel IDs, role IDs and other server configuration required to operate enabled features.
Depending on the features a server chooses to use, ServerMate may also store ticket content, ticket form responses, transcripts, staff notes, ratings, staff activity statistics, moderation events, AutoMod events, automation settings, verification settings, reaction-role settings, welcome and goodbye configuration, analytics and other feature-specific data.
When users sign in to the ServerMate dashboard, ServerMate may process basic account information supplied through Discord authentication, such as a Discord user ID, username and profile image, where required to provide dashboard access and permissions.
Message content
ServerMate does not collect every message for general tracking. Message content is processed only where a feature requires it, such as tickets, transcripts, moderation logs, AutoMod, automations or other configured server-management features.
AutoMod may inspect message content in servers and channels where administrators have enabled content-based moderation rules. Depending on the configured rule, ServerMate may record the detected message, moderation result and related event data.
Ticket messages may be processed and stored when required to generate and maintain ticket transcripts for authorised server staff.
Server administrators control whether many message-processing features are enabled and may configure ignored channels, roles or users where supported.
ServerMate does not sell message content, use message content for advertising, or use message content to train machine learning or artificial intelligence models.
Uploaded images and files
Some features may allow server administrators to upload images or other assets, including custom welcome-card backgrounds. These files may be stored through third-party infrastructure or storage providers so they can remain available to ServerMate and Discord.
Uploaded assets may be made accessible through generated public URLs where this is technically required for the configured feature to work.
Users should only upload files they own or have permission to use.
How information is used
Information is used to provide ServerMate features, display dashboard data, process server configuration, operate ticket systems, generate transcripts, provide moderation and AutoMod tools, run automations, manage access features, deliver welcome and goodbye messages, troubleshoot failures and improve service reliability.
ServerMate may also use operational information to diagnose errors, prevent abuse and protect the service.
Custom bot tokens
Servers using custom bot functionality may provide a Discord bot token. Tokens are stored in encrypted form and used only to connect and operate the configured custom bot.
Server owners remain responsible for protecting their token and resetting it if they believe it has been exposed or compromised.
Server administrator control
Many ServerMate features are optional and are enabled or configured by server owners and administrators.
Server administrators are responsible for choosing which features operate in their community and for managing access to stored information through Discord and the ServerMate dashboard.
Data sharing and service providers
ServerMate does not sell personal data.
Information may be processed through Discord, hosting providers, database providers, storage providers, analytics providers and other infrastructure required to deliver and maintain the service.
Information may also be disclosed where required by law or where reasonably necessary to investigate abuse, protect users, protect communities, enforce ServerMate's terms or maintain the security of the service.
Retention and deletion
Configuration and feature data may remain stored while a server continues to use ServerMate.
Tickets, transcripts, moderation records, AutoMod events, analytics, uploaded assets and other records may remain stored for longer than 30 days and may remain stored until they are deleted through an available ServerMate feature or a deletion request is processed.
Removing ServerMate from a Discord server stops future collection through that server but may not automatically delete all previously stored records or uploaded assets.
Server administrators and individual Discord users may request deletion of applicable stored data by contacting ServerMate support.
Some limited information may be retained where reasonably necessary for security, abuse prevention, legal compliance, backups or resolving technical disputes.
Security
ServerMate uses reasonable technical and organisational safeguards intended to protect stored information. These safeguards include restricted access controls, encryption of sensitive custom bot tokens, encrypted connections when transmitting data, and encryption at rest provided by ServerMate's database and infrastructure providers where applicable.
Access to ServerMate's dashboard and stored server data is restricted according to applicable authentication, authorisation and server permissions.
No online service, hosting provider, database or transmission method can guarantee absolute security.
Your choices
Server administrators can disable optional features, change configuration, remove stored items through the dashboard where supported, remove ServerMate from their Discord server or request assistance with data deletion.
Individual Discord users may request access to or deletion of information associated with them by contacting ServerMate support. Users requesting deletion should provide their Discord User ID and, where applicable, the relevant Server ID so ServerMate can identify the applicable stored data.

Changes to this policy
This Privacy Policy may be updated as ServerMate changes or adds new features. The latest version will be published on the ServerMate website together with its effective date.
